Build a file register before sending the design
Put the floor plan, elevations, details, renderings, graphics and equipment schedule into one register. Record each file name, revision, date and link. Identify the current file for each purpose and mark superseded files clearly rather than leaving several competing “final” versions in the same folder.
For an agency working with an exhibit fabrication partner, also name the design approver and the person who can accept changes to scope and cost. The fabrication team needs to know which questions it should resolve and which decisions must return to the client or designer.
Check the information component by component
Give the reception counter, display wall, plinth and storage unit individual identifiers. Use the same identifier in the drawing, material schedule and open-item list. This makes a revision traceable even when several people are discussing different parts of the stand.
| Check | Information to provide | Typical gap to flag |
|---|---|---|
| Geometry | Dimensioned plan, elevations and relevant details | A counter appears in the rendering but has no confirmed depth. |
| Materials and finishes | Specification, visible faces and finish reference | A timber appearance is shown without an agreed finish. |
| Connections and access | Adjoining components, access panels and service routes | The equipment is drawn but maintenance access is missing. |
| Graphics | Location, finished dimensions, file and revision | The artwork dimensions match an older wall layout. |
| Equipment | Dimensions, provider and interface requirements | A replacement screen has not been checked against the recess. |
| Delivery scope | Packing, transport interface, installation and dismantling | The inquiry says fabrication but assumes on-site assembly. |
Keep visual intent separate from confirmed specifications
Perspective is not a reliable substitute for a dimensioned drawing. If a depth, radius or opening is missing, mark the question and ask the responsible person for confirmation. Do not turn an estimate from the image into an approved production dimension.
Likewise, a finish that looks convincing on screen still needs an agreed reference. Record whether approval requires a specification, a sample or another documented confirmation. Construction and safety details belong with the relevant qualified project roles and the requirements of the actual venue.
Worked example: a counter needs an access decision
This is a fictional teaching example, not a delivered customer project. Counter C-01 appears in rendering R02. A screen is shown above it, but the supporting drawing leaves the cable route and access opening unresolved.
| Record field | Example entry |
|---|---|
| Component and source | C-01; Counter_Elevation_R02; link to the marked drawing. |
| Open point | Cable route and access opening have not been confirmed. |
| Required input | Equipment requirements and an approved access position. |
| Decision roles | Equipment information provider and designated design/technical approvers. |
| Updated evidence | Link to the revised dimensioned detail and its revision. |
| Release status | Open until the decision and drawing agree. |
Make a revision trigger an impact check
When a file changes, ask what else depends on it. A different screen may affect the recess, access, fixing detail or graphics. A wider counter may alter adjacent circulation space or the approved layout. The change log should point to the affected components instead of simply announcing that a new file exists.
For trade show booth fabrication from drawings, keep four separate records: the change requested, the revised document, the decision approving it and any resulting scope or schedule update. Approval of an earlier revision does not automatically cover a later substitution.
Agree what the pre-build inspection will establish
An exhibit pre-build inspection can be organized around agreed checks, such as selected dimensions, visible finishes or trial assembly of specified connections. Define the components, evidence and acceptance roles before treating a check as part of the order. Full trial assembly is not automatically included in every fabrication request.
Record the component number, drawing revision, photographs where useful, open points and the person confirming the outcome. Workshop checks and venue checks have different purposes: a component can be inspected before shipment while its final connection to venue services still needs to be checked at the appropriate stage.
Separate fabrication from the services around it
When comparing trade show booth manufacturers or production partners, ask each one to respond to the same scope. Fabrication, packing, transport, installation, handover, dismantling and storage should be individually identified. A fabrication quotation should not be read as a promise that all of those activities are included.
For exhibition stand fabrication in Germany, provide the event, venue and known access dates alongside the drawings. If the project is in China or the USA, state that destination explicitly. Client location, production arrangements and build location are separate facts to confirm; one should not be inferred from another.
Send a package that makes the next decision clear
The custom stand fabrication process can start with a review of the information you already have. Include the current register, marked drawing gaps, stand details, event dates and the work you want assessed. Keep unresolved items visible and identify who can answer them.
Germesse’s fabrication-from-drawings page sets out the information exhibitors and design agencies can submit for review. Scope, production arrangements, schedule and price are confirmed for the individual project. Use the worksheet below to make that review specific.

Frequently asked questions
Can I contact a fabrication partner before all drawings are complete?
Yes. Send the available files with stand details and a clear gap list. The first discussion can identify what information and technical development are still required.
Should graphics and equipment use the same revision identifier as the drawings?
They should be traceable to the same agreed design baseline. Individual files may have their own revision numbers; the register should show which versions belong together.
Does a pre-build check mean the stand is approved for the venue?
No. It records the agreed workshop checks. Venue submissions, technical approvals and checks at installation are separate responsibilities.
Is installation part of exhibition stand fabrication?
Only when it is included in the agreed scope. Record installation, transport interfaces, dismantling and other surrounding services separately.
Applying the checklist
Use the worksheet to record project decisions. Examples are fictional teaching scenarios, not customer projects or confirmed supplier terms. Agree the actual work scope and responsibilities for your project.
Based on Germesse’s published fabrication scope and existing Chinese drawing checklist. Examples are fictional teaching scenarios; technical decisions and inspections remain project-specific.
